Forwarding your phone is easy! Here are instructions for major Australian carriers:

How long does setup take?

Setup takes less than 5 minutes! Simply sign up, configure your business hours, and forward your phone. That's it!

Do I need any special equipment?

No! Ringlynx works with your existing phone number. Just forward calls to your Ringlynx number and we handle the rest.

Pricing & Billing

How much does Ringlynx cost?

Ringlynx costs $60/month which includes 100 minutes of call time. Additional minutes can be purchased as needed:

  • 20 minutes - $10
  • 50 minutes - $25
  • 100 minutes - $50

What counts as a minute?

Minutes are rounded based on call duration:

  • Calls under 50 seconds round down (e.g., 2:21 = 2 minutes)
  • Calls 50+ seconds round up (e.g., 2:51 = 3 minutes)

Can I cancel anytime?

Yes! There are no long-term contracts. Cancel anytime from your dashboard.

Calendar Integration

Does Ringlynx integrate with my calendar?

Yes! Ringlynx seamlessly integrates with both Microsoft Outlook and Google Calendar. When the AI books an appointment, it automatically syncs with your calendar, checks your availability, and prevents double-bookings.

How do I connect Microsoft Outlook?

Connecting your Outlook calendar is simple:

  3. Sign in with your Microsoft account
  4. Grant Ringlynx permission to read/write calendar events
  5. Choose which calendar to sync (if you have multiple)

What gets synced: Appointments, availability status, and booking confirmations

How do I connect Google Calendar?

Setting up Google Calendar is just as easy:

  2. Select "Connect Google Calendar"
  3. Sign in with your Google account
  4. Grant Ringlynx permission to manage your calendar
  5. Choose which calendar to sync (if you have multiple)

Permissions needed: View and edit events, and check availability

What gets synced: Appointments, free/busy status, and event details

Can I use multiple calendars?

Currently, you can connect one calendar at a time (either Microsoft Outlook or Google Calendar). You can switch between them anytime from your dashboard settings. All existing appointments will remain in your calendar when you switch.

What happens when an appointment is booked?

When the AI books an appointment:

  • The appointment is instantly added to your connected calendar
  • You receive an SMS notification with customer details
  • The customer receives a confirmation with appointment details
  • Your calendar shows the appointment with customer name, phone, and service type
  • The AI checks your calendar in real-time to avoid double-bookings
  • Any changes you make in your calendar sync back to Ringlynx

Two-way sync: If you cancel or reschedule an appointment in your calendar, Ringlynx is automatically updated.

Technical

What happens if I'm already on a call?

If you use "forward when busy" mode, calls only go to Ringlynx when your line is busy. Otherwise, all calls go to Ringlynx.

Can I still receive calls directly?

Yes! You can turn call forwarding on/off anytime using the codes above. Or use "forward when busy/no answer" mode.

Is my data secure?

Yes! We use industry-standard encryption and comply with Australian Privacy Principles. See our Privacy Policy for details.

AI Email Triage

What is AI Email Triage?

AI Email Triage is an intelligent inbox management system that automatically prioritizes your emails, provides voice briefings, and helps you focus on what matters most. Forward your business emails to your RingLynx email address and let AI organize them for you.

How does Email Triage work?

When you forward emails to your RingLynx email address (e.g., 20@ringlynx.com), our AI:

  • Analyzes each email to understand the sender's intent and urgency
  • Categorizes emails (quote, booking, complaint, invoice, etc.)
  • Prioritizes them into ASAP, Today, This Week, or Low priority
  • Extracts key information and next actions
  • Generates voice briefings you can listen to on-the-go
  • Suggests draft replies for common requests

How do I set up Email Triage?

📧 Email Forwarding Setup

  1. Find your RingLynx email address in your dashboard (e.g., 20@ringlynx.com)
  2. Set up email forwarding in Gmail, Outlook, or your email provider
  3. Forward to your RingLynx email address
  4. Access your AI-organized inbox in the dashboard

Gmail: Settings → Forwarding and POP/IMAP → Add forwarding address

Outlook: Settings → Mail → Forwarding → Enable forwarding

Note: Your original emails stay in your inbox - we only receive copies

What are Voice Briefings?

Voice Briefings are AI-generated audio summaries of your inbox that you can listen to while driving, working, or on-site. Choose from:

  • Urgent Briefing: Only ASAP priority emails (emergencies, urgent requests)
  • Today Briefing: Emails that need attention today
  • Full Briefing: Complete overview of ASAP, Today, and This Week emails

Each briefing includes email counts, top priorities, and suggested actions - all in a natural, conversational format.

How does AI prioritize my emails?

Our AI uses multiple factors to determine urgency:

  • Content Analysis: Keywords like "urgent", "ASAP", "emergency", "leak", "flood"
  • Intent Recognition: Understanding what the sender wants (quote, booking, complaint)
  • Context Understanding: Business context and typical response times
  • Sender Importance: Customer emails vs. newsletters/marketing

Emails are scored 0-200 and grouped into: ASAP (urgent), Today (important), This Week (standard), Low (can wait).

Can I ask questions about my inbox?

Yes! Use the "Ask" feature to query your inbox in natural language:

  • "What needs to be done ASAP?"
  • "Which customers are waiting for quotes?"
  • "What can wait until Friday?"
  • "Are there any complaints I need to handle?"

The AI analyzes your emails and provides spoken answers you can listen to.

What information does AI extract from emails?

For each email, the AI identifies:

  • Intent: What the sender wants (quote, booking, question, complaint)
  • Category: Type of request (quote, booking, invoice, supplier, etc.)
  • Urgency: How quickly it needs attention
  • Next Actions: What you need to do (call customer, send quote, schedule visit)
  • Missing Info: What details you need to follow up (address, phone, specific dates)
  • Draft Reply: Suggested response for common requests

Does Email Triage delete or modify my emails?

No! Email Triage only reads forwarded copies. Your original emails remain untouched in your Gmail, Outlook, or other email provider. When you mark an email as "Done" in RingLynx, it only updates our system - your original email stays in your inbox.

Can I use Email Triage for multiple businesses?

Yes! Each business gets its own email address (e.g., 20@ringlynx.com, 21@ringlynx.com). Forward different email accounts to different RingLynx addresses to keep businesses separate.
